Mentor Privacy Policy

Last updated: 21 September 2026

Version: 1.0

This Privacy Policy explains how SurgEase Innovations Limited collects and uses personal information when you use Mentor.

Mentor is provided by SurgEase Innovations Limited, a company registered in England and Wales under company number 10051324, with registered office at Burlington House, 1-13 York Road, Maidenhead, Berks, SL6 1SQ, United Kingdom ("we", "us" or "our").

Our VAT registration number is 302514650. You can contact us about privacy matters at info@surgease.co.uk.

This Privacy Policy should be read together with the Mentor Terms of Use and, where applicable, the Consumer Subscription Terms. Those documents govern your use of Mentor and your subscription; this Privacy Policy explains how we process personal data.

1. Information we collect

Depending on how you use Mentor, we may process:

• your name, email address and account information;

• professional information, including your professional body and registration details;

• profile and network-membership information;

• videos, images, audio and other content uploaded to Mentor;

• comments, assessments, ratings, feedback and related activity;

• subscription, storage and account-status information;

• technical information such as IP address, browser and device information and security or access logs; and

• information you provide when contacting us for support.

Content uploaded by a Mentor user may also contain personal information relating to other identifiable individuals.

2. Why we use your information

We process personal information where necessary to:

• create and manage your Mentor account;

• provide video storage, sharing, assessment and networking functionality;

• verify professional information where applicable;

• administer subscriptions and sponsored storage;

• allow authorised users to view, assess or interact with content;

• operate, secure, troubleshoot and improve Mentor;

• investigate suspected misuse or breaches of our Terms of Use;

• review or restrict content where reasonably necessary for safety, legal compliance or enforcement of our Terms; and

• comply with applicable legal and regulatory requirements.

3. Our lawful bases

Depending on the purpose, we process personal information because:

• it is necessary to perform our contract with you;

• it is necessary for our legitimate interests in operating, securing and protecting Mentor and its users;

• we are required to do so by law; or

• you have given consent where consent is required.

Where consent is the lawful basis, you may withdraw it at any time. Withdrawal does not affect processing that took place before consent was withdrawn.

4. Videos and other uploaded content

You are responsible for ensuring that you have an appropriate lawful basis and any necessary permissions to upload, share or publish content containing information about another person.

Mentor is not intended for the routine upload of patient-identifiable information unless SurgEase Innovations Limited has expressly approved a separate use case and appropriate arrangements are in place.

Published or shared content may be subject to compliance or moderation checks.

We may restrict access to, unpublish or remove content where we reasonably believe it is illegal, obscene, harmful, infringes another person's rights, breaches our Terms of Use or must be restricted to comply with law.

Where required or appropriate under applicable law, relevant information may be disclosed to law-enforcement agencies, regulators, courts or other competent authorities.

5. Assessments

Where you use Mentor for video assessment, we may process information relating to the assessment, including the identity of the submitter and Rater, ratings or scores, comments, feedback and related audit information.

Assessment content may be made available to the persons authorised within the relevant Mentor assessment workflow.

6. Sponsored networks

If your Mentor storage or access is provided through a sponsored network, we may process information about your membership of that network and your associated storage entitlement.

Membership of a sponsored network does not by itself give the sponsoring organisation access to all content held within your Mentor account. Access to content depends on the Mentor sharing, assessment and network features being used.

7. How long we keep your information

We retain personal information only for as long as reasonably necessary for the purposes for which it is processed, including legal, regulatory, security and dispute-resolution requirements.

Where your right to store video through a paid subscription expires, or storage provided through a sponsored network is removed, the affected videos will be scheduled for deletion 14 days after that storage entitlement ends.

Some information may remain temporarily within secure backups until those backups are overwritten in accordance with our backup procedures, or may be retained where required for legal, security, fraud-prevention or legal-claims purposes.

Other account, assessment, security and transaction records are retained for periods appropriate to their purpose and our legal obligations.

8. Who we share information with

We may share personal information with:

• other Mentor users where you use Mentor's sharing, assessment or network functionality;

• organisations that provide hosting, infrastructure, communications, payment, security, support or other services to us;

• sponsoring organisations or network administrators where necessary to administer the relevant Mentor network;

• professional registration bodies or related sources where professional verification is carried out; and

• regulators, courts, law-enforcement agencies or other authorities where disclosure is required or permitted by law.

Service providers acting on our behalf are required to protect personal information appropriately.

9. International processing

Some of our service providers may process or access personal information outside the United Kingdom.

Where personal information is transferred internationally, we use appropriate safeguards as required by applicable data-protection law.

10. Your rights

Depending on the circumstances, you may have the right to:

• obtain a copy of your personal information;

• ask us to correct inaccurate information;

• ask us to erase your information;

• ask us to restrict how your information is used;

• object to certain processing;

• receive certain information in a portable format; and

• withdraw consent where processing is based on consent.

These rights are subject to the conditions and exemptions contained in applicable data-protection law.

To exercise your rights or ask a privacy question, contact SurgEase Innovations Limited at Burlington House, 1-13 York Road, Maidenhead, Berks, SL6 1SQ, United Kingdom, or email info@surgease.co.uk.

We may ask for information reasonably necessary to verify your identity.

11. People appearing in Mentor content

If you appear in a video, image or other content uploaded to Mentor by somebody else and you have questions or concerns about that content, you may contact us using the details above.

We may ask for sufficient information to identify the relevant content and investigate the request.

12. Complaints

If you have concerns about how we use your personal information, please contact us first so that we can investigate.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.

13. Changes to this Privacy Policy

We may update this Privacy Policy as Mentor develops or where our processing activities or legal obligations change.

Where a change materially affects how we use personal information, we will take reasonable steps to bring the change to the attention of affected users.
